Annual General Meeting

Annual General Meeting, mainly to discuss what we’ve accomplished this year, what we want to do next year, and the big show-stopper: Who’s on the committee next year.

Since we’re still fairly small, we only need the three required positions: President, Treasurer, Secretary. See the Clubs & Societies Handbook for what these mean.

Present Around the Campus III – 28/2/2012

This Tuesday (28th February) QUESTS will be hosting the third Present Around the Campus event. It should be a good one, we have a range of speakers with a good variety of topics.

  • Colin Kelsey will be giving an Introduction to Plasma Physics.
  • Niall McLaughlin will be giving a talk on robust multimodal person identification using speech and facial patterns.
  • Alastair McKinley will be giving a presentation on programming.
  • David Kane will be presenting a mystery topic.
  • Conal Loughrey and Conor McCluskey of Sophia Search will be giving a talk on some of the technical details of what they do.

It’s promising to be a really good event! We’ll be in Club Room 1 of QUB’s SU, which is on the 3rd floor for anybody who hasn’t been before. Kickoff will be around 7, and as usual we’ll be heading the the Parlour for a few drinks afterwards.

Minutes of Meeting 21/2/12

On Tuesday, we had our standard meeting @7pm in the QUBSU. The General Agenda was:

 

Nice Plan, what actually happened?

Very good turn out (around 15), Pizza was nommed.

Heliests

Decision was made that Rory would take over from Tom as project lead, with no hard feelings on either side. (Rory to develop a staged project plan to take to Prof Marshall)

Finance Stuff

Still no word on Queen’s Annual Fund (Bolster to chase up with Finance), but Claire (Treasurer)  is up to speed with the purchasing procedures so we are still ok for managing petty cash requirements (i.e pizza…) until we confirm more funding.

Turns out we did get our full grant, which is a good thing.

Clubs & Socs Update

It had been expected that a second follow up meeting would have taken place between Bolster, QUBSU, IS, and QCS before the meeting, but this was postponed, so no new information, but response has been good with at least five short-listed candidates for the project.

General Farset Labs Stuff

New property was suggested (Donegal Road) (After checking the place out, this is a no-go)

Incorporation documents are through, waiting on Charitable status from HMRC/LPS to confirm rates exemption, and Bank to confirm account status. (Eoghan to keep us up to date)

Main issue is Video for PR, but also to establish gimmicks for different levels of donation.  Ben Bland stated that these should be unique and exclusive. Possibly the result of project-contrustions (See below)

PR Video

Most successful funding campaigns are done with good (but not too good) quality demo-videos. Main idea would be to demonstrate that QUESTS/Farset Labs is a ‘Community Looking for a Home’, and to showcase the kind of projects that are done at the 24-hr events and in personal projects. Biggest problem obviously is that we never seem to have the right equipment (Thank you QAF…)

So, The plan is to pick a set of projects, and to acquire the required kit so that next 24hour event, we can instantly rock and roll.

Non-Project PR Strategies (I.e Gimmicks for video)

  • Member exchange network with other hackerspaces in the mainland/ROI
  • Tech Testimonials from local industry and entrepreneurs, hopefully clamouring for better skills
  • Push the idea of  ”A community looking for a home”
  • Run in-event electronics class (Arduino/mbed) possibly based on Dr Cregans Embedded II module
  • Video Blog for each project (Does anyone have a flip video camera?)
  • Steal  Liberate the ECIT Robotics platform
  • Android/Iphone High-Altitude balloon

Potential Projects to show off (And Persons Responsible)

  • Arduino controlled blinds / DIY CNC Router (Steven, sorry I’ve forgotten your last name!)
  • Solarbotics (David Kane)

Call for Project Involvement!

QUB SU has approached QUESTS and QCS to support the  re-development of their internal Clubs and Societies Management Systems.

This will involve a small, dedicated team of web, software, and database developers to work together on a major prototype project within a limited timescale.

Initially, the proposed system will replace the current way that QUB Clubs and Societies manages their paperwork, for instance for Grant Applications and Clubs and Societies Annual Reports, Development Plans, and Membership Lists.

This is aimed to be tied with the ongoing re-development of the http://clubs.qub.ac.uk Website, which is planned to be re-launched with a Drupal base framework. Any system proposed would ideally be built with or on top of Drupal.

After this initial project, it is planned that QUESTS/QCS will expand the work to cover Room and Event Booking and Viewing of C&S Accounts.

Announcing: Makerspace/Farset Labs PR Meeting

QUB SU Clubroom 1, Tuesday 24th Jan 2012, 1800-2000

In an effort to form a consistent PR-kit / ‘Business Proposal’, and to make the whole fundraising/membership drive process easier, I want to take the meeting on Tuesday and collaboratively make sure that we’re writing what we want, the way we want it, so that there’s no confusion of what we want, how we want it, and why people should pay for it.

Also means that people can stop referring all questions to me!

Before we get into the nitty gritty, we’ll cover the relevant QUESTS issues initially; Rory and Tom need to meet Prof Marshall, we need to raise speakers for PATC, and that kinda thing.

Eoghan will be taking us through the process of incorporation and HMRC non-profit/charity registration, and hopefully some of the finer points of Social Enterprise.

David will be covering some of the potential funding options for disabled access to the proposed space, as well as hopefully showing off either a logo or CAD mockups of the fully furnished space.

I’ll be rolling through the business proposal and some of the financial modelling tools and assumptions, as well as a general purpose overview slideshow that can be adapted to either sponsors or members, as well as the response from the meeting with EEECS HoS earlier that day.

After the show and tell section, we’ll hopefully be splitting up into small groups (<7 per group), and depending on how many show up, we’ll split people out into PR/Proposal Development, Fundraising, and Membership drive. These will be pretty fluid, and I’d like most of the work to be done collaboratively online, so bring as many laptops as practical.

This project (even the whispers of it) is making waves across the tech-community in Belfast. I’ve had people ask *me* if I’d heard about this project. Even still, I don’t want to build excitement about this. We need steady but directed momentum. That means not spending 15 minutes talking about the ideal security system or the network layout or the lighting grid.

One step at a time and we’ll get there.

Times; they are a-changing

**** INCOMING MESSAGE FROM THE BIG GIANT HEAD ****

(I fear the day that first-years don’t get that joke…)

Lots of potential action going on at QUESTS in the past couple of weeks, as well as a few plans starting to come together for the general-makerspace idea.

  • I’m meeting with Invest NI and NISP this week to discuss the development of a ‘Digital Hub’ in Belfast (section 2.10), and I’m going to be heavily pushing the successes of QUESTS and the idea of a practical makerspace instead of Yet Another Co-working Space for “Technical Creatives” (Read: Web Designers, Graphic Designers, Marketers, SEO, Consultants, etc)
  • Eoghan is still hunting around for ‘independent’ property, and the plan is that when we find a space that we love (and can reasonably afford), we put together a ‘business plan’ and then we Crowdsource the funding (with potential sponsorship options for Angels/Companies).
  • Helicopter is static at the minute as I thought it was only fair to give TBAG a break over the exam period.
  • The UU Radio project looks to be a little dead, but at their end, not ours.
  • The QUESTS Wikiis up, running, and open. I may not have completly fixed the permissions but at least people can create their own accounts now. Feel free to throw up any ideas or plans, and everyone can collaboratively format them.

Next Meeting

After faffing around with the Doodle for more than a week, we’re back to Tuesday being the best day. If that doesn’t suit and you didn’t vote; better luck next time.

As such, I’ve rebooked our usual slot in QUB SU Clubroom 1 (Top floor, end of the corridor) for Tuesdays at 1900 (7pm).

Happy New Year!

Short and sweet. Hope everyone had a great holiday season.
